CANCELLATION INFORMATION

We understand cancellations can be difficult and challenging for all involved. We have teamed up with Rental Guardian to make sure your vacation is protected. CFAR, which includes Travel Insurance can cover 60-100% of your trip Expenses. The majority of our guests are purchasing vacations with Travel Insurance even more now due to Covid-19.

Full refund 30 days +, 50% refund 7-14 days prior to check in (depending on Channel Partner). * Non-Refundable Option is Not Refundable. A reservation is officially canceled when the guest notify Mt. Maplewood Lodge in writing and obtains online cancelation in the booking system. Applicable taxes and credit card charges will be retained and remitted. For a refund of accommodation fees, cancellation must be made 14-30 full days prior to listing’s local check in time (or 4:00 PM if not specified) on the day of check in, otherwise no refund. If the guest arrives and decides to leave early, the nights not spent are not refunded. By booking this rental, the guest hereby acknowledges and agrees to the terms in this document.

* Refundable Damage Deposit is $500.

** Lake House in Summer is $1000 for use of boats or you may opt for Accidental Damage Insurance.

Here are some scenarios:

  1. 30 Days + Notification is a Free Cancellation

  2. 14 Days + Notification is a 50% Refund

  3. Did you get the Travel Insurance (100% Coverage) or CFAR (60% Coverage) in initial email and/or by your online booking channel? *See calculator for exclusions.

    1. Either of these would cover the trip on your end based on the situation.

      1. We can help you process the paperwork, they just may need a copy of the Dr’s note, ER receipt or death certification for verification, but you can send that to them directly.

  4. Your CC you booked with may have travel Insurance! Call to check and we can provide any paperwork they may need.

  5. If you chose no coverage . . .

    1. We can try and rebook it and make up the difference minus the non-refundable cc transaction & processing fees from stripe and your channel partner.

    2. We may reduce the minimum night stay to increase the chances of re-booking.

    3. Once their trip dates clear 14 days after departure, we can then begin the process of balancing out and settling the reversals of the amounts that would be refunded.

ACCIDENTAL DAMAGE INSURANCE OPTIONS Accidental Damages issues happen but can be easily resolved between the guest and the owner. Below are some options our guest have used in the past. It has helped to greatly reduce the guest cost for damage incidents and returns the property to the condition it was by repair or replacement for the owner. Everyone wins!


Rental Guardian - Hold on CC. We will process for you and release approved amount.


VRBO’s - Damage Protection Insurance. Charged to cc on file and you submit form to your insurance.


Security Deposit

  • Vrbo we will charge your card on file.

  • AirBnB we either have to file a report (incurs $25 fee) which can take a long time to process paperwork on both sides or Mt. Maplewood Lodge can send you an invoice to pay securely online via Stripe.

  • All other channel partners would be a deduction from your security deposit or billed.

OTHER OPTIONS

  • For guests who did not purchase insurance, you can check with your credit card company you booked with and/or your personal home owners or renters insurance for reimbursement. Mt. Maplewood Lodge would bill you, you may pay by credit card then use the paid invoice to get a reimbursement from your cc/insurance.

  • PROCESS

    • VRBO/AirBnB/CC options will result in a charge to your card on file until reimbursed.

    • If you have purchased Rental Guardian Damage Insurance, the claim will be processed by our Property Manager.

      • Once approved, we will both receive a determination letter with the approved amount.

  • $59 Rental Guardian - Damage Insurance ($1500 coverage) - Please ask us to add

    • Damage Insurance must be added at least 1 day before arrival Recommended for all groups. Handy man can be $50 in labor alone.


  • Travel Insurance will cover traditional trip interruptions, sickness, death, injury, medical and more.

    • Rental Guardian Plan Cost: 7% of Reservation Total (Travel Protection Plan only).

    • NOTE: Travel & CFAR Insurance MUST be purchased within 14 days of booking and at least 30 days prior to arrival.


  • Optional Cancel For Any Reason (CFAR) is the best coverage to cancel for any reason and most of our guests are getting this to cover the unknown.

    • Rental Guardian Plan Cost: 9.80% of Reservation Total (Travel Protection Plan with optional CFAR). 60% reimbursement.

    • NOTE: Travel & CFAR Insurance MUST be purchased within 14 days of booking and at least 30 days prior to arrival.
